Job Opportunity: Operations and Facilities Coordinator

Quarters Arts Society (QAS) is seeking an Operations and Facilities Coordinator. Reporting to the Artistic Director, the incumbent will lead and support a variety of functions for QAS to increase its organizational capacity, streamline administrative processes, and support the ongoing activation of the CO*LAB arts space in downtown Edmonton.

The Role
The Operations and Facilities Coordinator is responsible for:

Administration

  • Monitoring shared email inboxes and business phones; acting as the first point of contact for inquiries.
  • Administrate internal QAS schedule and communications to ensure relevant information is shared with the appropriate people in regards to rentals, festivals, special events, exhibits, staff and facility.
  • Ensuring CO*LAB is operating in accordance with QAS values and mandates.
  • Ensuring all fiscal and operational procedures follow relevant Municipal, Provincial, and Federal laws and regulations.
  • Bookkeeping: recording, monitoring and reporting financial progress, payroll and CRA reporting.
  • Preparing monthly treasurer reports, developing budgets, monitoring income and expenditures.
  • Database and filing system management for membership, partners, volunteers, and organizational archives.
  • Providing general administrative support to core team members and the Board of Directors.

Facilities Management

  • Leading and coordinating CO*LAB staff and volunteers.
  • Establishing and implementing operational systems for theatre, gallery, bar, kitchen, janitorial, and lobby areas, including safety and security procedures, on-boarding and training, staff and volunteer duties and hours, and asset and inventory control.
  • Liaise with the City of Edmonton to manage maintenance, deficiencies and upgrades to CO*LAB.
  • Managing all facets of rentals, preparing rental contracts and invoices; maintaining documentation related to rentals, programing and space availability
    Supporting QAS communications team, helping to share and develop content for CO*LAB, ensuring allCO*LAB promotional materials and messaging are up to date and relevant.
  • Managing relationships with CO*LAB vendors, renters, customers, and partners that make up our communities.

This is a staff position with a starting wage of $22 per hour and a guaranteed 25 hours per week. Hours will increase to full time as CO*LAB’s operational hours evolve.

You are highly organized, resourceful, a team leader, and a strong communicator. You have a background in organizational administration, event planning, and facilities management, and are excited to work collaboratively with a team of dedicated professionals to activate the spaces at the CO*LAB. You are comfortable working with deadlines and understand the need to create opportunities for others to provide input into key documents. You have experience preparing complex documents, You are comfortable working with Google software and have experience with or feel confident in learning QuickBooks and other software.

Qualifications:

  • High School Diploma
  • Post-secondary education preferred, ideally in arts administration or venue management
  • Experience with Google applications including Google Drive, Docs, Sheets, and Forms
  • Experience with QuickBooks or other accounting software
  • Communications experience
